Rooms & Ratios

Rooms connect enrolled children and staff to the capacity and staff-to-child limits on your license.

Add a room

Go to Rooms, select Add Room, and enter:

  • Name
  • Licensed capacity — the maximum children permitted in the room at once
  • Children per adult — enter 4 for a required ratio of 1:4
  • Minimum and maximum age in months — optional; used to flag children outside the room’s age band
  • Notes and whether the room is active

Use the limits from your current license. Kidago displays the values you enter; it does not determine the legal limits for your jurisdiction.

Assign children and staff

Assign a child to a room from the child’s record. From Rooms, open a room’s actions and select Assign staff to choose staff members.

The ratio panel compares checked-in children with assigned staff and the configured capacity and ratio. Keep staff assignments current so this view is meaningful.

Maintain room records

Edit a room when its licensing details or age band changes. Mark a room inactive when it is temporarily out of use. Before deleting a room, reassign any children and preserve any records your organization is required to retain.
